Actavis – international generic company with headquarters in Switzerland. Actavis is one of the world leaders in the sphere of the development, manufacturing and sales of the first class pharmaceutics. Successful integration of the number of acquisitions helped Actavis to become one of the largest world companies in the sphere. The company works in Ukraine since 1999. Around 180 specialists explore the local pharmaceutical market in order to familiarize Ukrainians with medication of the high quality. In Ukraine are registered more than 100 Actavis types of drugs to cure cardio-vascular and nervous systems diseases as well as number of non-prescription medicine. At the moment integration with the company Watson Pharmaceuticals Inc. is taking place that will be completed in 2013.

Situation

Actavis Representative Office was operating in Ukraine before December 2011. The next step of the company’s development was the establishment of the enterprise with the right to operate business that was accompanied by the arising necessity in effective tools to perform financial and managerial reporting as well as in authorized staff and payroll management.

Local 1C or world-class system NAV was to be chosen. The main goals of the new system’s implementation have become: building of the effective operational control, simple integration with the existing reporting instruments, including corporate system, compliance with Ukrainian legislation, National Accounting Standards, international standards of financial reporting. There was also the task to minimize NAV modifications.

Solution

SMART business was chosen as a partner by Actavis, because at that moment the company already had the successful experience of Microsoft NAV implementation in pharmaceutical international companies. And also because SMART business, Microsoft GOLD ERP Partner is a leader on the Ukrainian market of the consulting services in the sphere of providing modern solutions for effective business management on the Microsoft Dynamics platform. Moreover, SMART business was the only Ukrainian company to be invited in 2011 Microsoft Dynamics President’s Club.

Microsoft Dynamics NAV was chosen because this ERP system supports international standards. SMART Accounting, SMART IFRS, as well as HR & PayRoll have become the successful solution to the task of the managerial and fiscal reporting implementation.

Microsoft Dynamics NAV solution provides advantages, that affect all types of activities in the organization, and assists in: simplification of entrepreneurship with the application of only one solution, performance improvement, quick deployment of the system at the enterprise, significant reduction of the total cost of ownership when compared with the other enterprise resource planning systems and this means, it helps to control and cut information technology costs.

Most of the work on the project was about offering the ways for more effective financial accounting (procurement and sales management, accounting of funds, fixed and intangible assets, taxes, financial results, capital and reserves), managerial accounting (corporate reporting formation according to international standards), human resources and payroll management (personnel records, time tracking and regulatory reporting).

Besides the adjustments of the business processes in the system, its testing and temporary support during trial period, training on the basics of the work with Microsoft Dynamics NAV was carried out for the employees.

Result

The project was implemented in quite a short period of time – three months, without cost overruns. During this time business processes of the company were standardized and documented, its implementation in ERP system is reflected in the documentation.

Microsoft Dynamics NAV functions without critical mistakes, all regulated managerial accounting can be built timely based on information stored in ERP system.

Soon after project completion Actavis Ukraine was bought by Watson Pharmaceuticals Inc. what will most likely lead to changes in corporate policies. Solutions suggested by the partner might need to be modified, some changes might be introduced, according to requirements of new management. However, SMART business is sure Actavis team will deal with this issue by themselves successfully, because partner provided detailed and clear documentation, all necessary instructions and taught the key employees.
